Request Use of CCAA Database & Member Network
The Canadian Centre for Activity and Aging (CCAA) maintains a contact and communications database for affiliated researchers, program leaders, instructors, partner organizations, and older adult volunteers across Canada. This database includes contact details, organizational affiliations, and program-related demographics. It is a valuable resource for researchers and professionals conducting surveys or initiatives related to aging, and the role of physical activity, in healthy aging.
As an organization dedicated to advancing the health and well-being of older adults through evidence-informed physical activity programs, the CCAA recognizes the importance of supporting ethically sound research and professional development. This instruction outlines the procedures and conditions under which access to the CCAA network or aggregate data may be granted.
CCAA Statement
Project Relevance
The proposed project must align with CCAA’s mission to promote functional health, mobility, and well-being in older adults through evidence-based programming, training, or research. Projects must demonstrate potential to advance knowledge, practice, or policy in aging and physical activity.
Member Privacy and Access Restrictions
- CCAA will not share individual contact information with external parties.
- Direct access to identifiable information is strictly prohibited.
- CCAA staff will distribute communications (e.g., surveys, calls for participation) on behalf of approved research teams.
- Mailing lists, labels, or direct email access will not be shared with requestors.
Voluntary Participation
All outreach must clearly indicate that participation is voluntary and that recipients may opt out or ignore the request without consequence.
Transparency and CCAA Disclaimer
Any recruitment message will be accompanied by a CCAA-approved statement confirming:
- No personal data was shared with the researchers.
- Participation is voluntary and may be withdrawn at any time.
Administrative Fees
To offset administrative costs, the following fees apply:
- E-blast (includes review + 2 rounds): $100
- Targeted sub-group mailing: Quoted case-by-case
- Custom document preparation: Quoted case-by-case
Note: These fees are cost-recovery and not revenue-generating. For western-affiliated researchers, request a speed code will be requested before the request is processed. For external researchers, an invoice will be issued prior to processing.
Resource Limitations
All commitments under these instructions are subject to available resources, and support will proceed only to the extent that CCAA capacity allows.
Knowledge Sharing Requirements
CCAA would appreciate acknowledgement in any published document or oral presentation for their support. CCAA may suggest the sharing of your study with CCAA stakeholders (e.g., newsletter feature or AGM presentation).
Procedure
All requests must be submitted to the CCAA Research Coordinator using the and will be reviewed by the CCAA Scientific Director or designate.
Application Requirements
Requests must include:
- Copy of the Letter of Information (LOI)
- Ethics Approval
- Proof of institutional ethics approval (if applicable)
- If ethics exemption is claimed (e.g., internal program quality improvement), provide justification
